UK BUYER & OPERATOR GUIDE
Smart cooler costs and cashless payments
A useful quotation separates the equipment you buy from the services you may pay for over time. Ask what applies to your proposed package rather than assuming every cooler has the same fees.

Separate one-off costs from ongoing costs
Start with the machine and its agreed configuration. Ask whether the quotation includes delivery to your address, moving the cabinet into its final position, setup, commissioning and operator guidance. Access difficulties or additional work should be discussed before accepting the quotation, not discovered when the cooler arrives.
Request an itemised total. Published equipment prices are indicative purchase guides and exclude VAT. Final price, delivery and installation are confirmed in your quotation. An accurate comparison depends on the selected model and supply arrangement. A low headline machine figure is not enough to compare two packages if delivery or setup is treated differently.
- Machine and agreed configuration.
- Delivery, access handling and positioning, where applicable.
- Product/payment setup, commissioning and training, where included.
- Any optional services and what is expressly excluded.
Ask which recurring charges apply
Possible ongoing cost categories include software or service subscriptions, connectivity, payment services and transaction charges. These are questions to ask, not a statement that every category applies to every package. Establish who provides each service, who invoices you and whether any minimum charge or contract term applies.
Keep operating expenses separate from supplier fees. Electricity, stock, replenishment visits, cleaning and food waste affect your own budget. Their cost depends on the site and the way you run it; this guide makes no energy, margin or return-on-investment claims. For an operator, account for the practical cost of visiting the site as well as the stock sold.
Understand the payment arrangement before launch
Customers use cashless payment methods according to the installed payment system. Confirm supported cards and mobile wallets, the merchant-account arrangement and how payments reach your business. Ask how transaction records, disputes and customer queries should be handled under the quoted setup.
Payment charges may have several parts. Ask whether there are fixed service charges, per-transaction charges or other applicable fees, and request the actual terms in writing. Do not compare a quoted percentage alone without knowing what else applies. Confirm who to contact if a payment or charge appears incorrect.
Your quotation and finance checklist
Request the total purchase cost alongside any finance proposal, with the term, payment schedule and relevant conditions explained. Finance is subject to approval; availability is not an assurance of acceptance. Avoid assuming a financed package includes ongoing service or stock.
Before agreeing, make sure the quote answers the questions below. Use the existing finance page to enquire about funding, and the FAQ for customer-payment questions. The goal is a clear agreement, not a projected income figure unsupported by your own site data.
- Which one-off items are included and excluded?
- Which recurring and transaction fees actually apply?
- Who supplies connectivity and payment support?
- What setup, training and aftercare are included?
- How are refunds, disputes and pending authorisations handled?
- What are the finance conditions and total payable, if applicable?
