Delivery and site-readiness checklist

Ask for model-specific dimensions, weight, delivery handling requirements and door-swing information. The model name and bottle capacity do not tell you whether a cabinet will pass through a doorway or travel in a lift. Do not rely on an estimate from a photograph.

Clarify where delivery ends: unloading, entry into the building, movement to the final position and setup may be treated differently in a quotation. Confirm who will be present, any site access restrictions and what happens if the agreed route is not usable. Delivery timing should be confirmed for the actual order.

Walk the route and measure the narrowest points. Include door frames, corners, corridors, changes in level and any temporary obstacles. Tell the supplier about steps, stairs, slopes or restricted unloading space so handling can be agreed in advance.

Where a lift is involved, check its usable doorway and internal space as well as its load limit with the building manager and supplier. Confirm that the floor and route are suitable for the equipment and proposed handling. Arrange permissions or building access rather than assuming the delivery team can resolve them on arrival.

Place the cooler where customers can reach it without obstructing circulation or emergency routes. Consider door opening, customer standing space and access for replenishment, cleaning and authorised servicing. A location that looks convenient to customers still needs to be practical for the operator.

Request the required ventilation and service clearances for the selected model and keep them unobstructed. Review the environment with the supplier, including heat sources and weather exposure. The existing guidance generally favours indoor or appropriately sheltered locations; do not treat the equipment as waterproof or assume outdoor suitability.

Have the supplier confirm the electrical requirements for the quoted machine and ask a competent person to check the proposed supply where needed. Plan the connection so it is safe and accessible. This checklist deliberately gives no universal socket, power or clearance figures.

A reliable internet connection is normally needed for payments, monitoring and updates. Agree the connection method for the site, check coverage at the actual cabinet position and discuss any network permissions with the building’s IT contact. Do not assume the cooler can trade offline if connectivity fails.

Agree who performs commissioning, the checks required before stocking and the operator guidance included. Follow the model’s operating instructions for readiness and temperature rather than inventing a waiting period after delivery. Have the approved product range and payment arrangements ready for the agreed setup process.

At handover, confirm the customer journey, routine checks and contacts for machine and payment queries. Record any unresolved item and agree the next action before treating the site as ready. Keep the supplier-confirmed requirements and support terms with the site’s operating information.
